Help content / SELF-INITIATED PRACTICE

Answers people can actually use.

Four short articles covering tracking, returns, refunds, and damaged deliveries. Written for the same fictional shop, with a consistent set of policies and an obvious route to support.

THE CHALLENGE

Make the next step clear.

A help article can leave a customer stuck if it explains a rule without explaining how to act on it. These drafts aim to make the process clear enough to follow without guessing.

THE APPROACH

  1. Organise each article around one customer task.
  2. Use short, ordered steps and explain when a time window starts.
  3. State return costs and refund timing before the customer commits to an action.
  4. Keep the articles consistent with the response pack and link unresolved situations to support.

Track your order

Find your tracking link and know when to ask for an update.

  1. Allow up to two business days after purchase for dispatch. Business days are Monday to Friday, excluding public holidays.
  2. Look for the dispatch email, including in your spam folder. It contains your tracking link.
  3. After dispatch, allow up to 24 hours for the carrier’s first scan. Delivery is estimated at three to five business days after dispatch.
  4. If the dispatch or delivery window has passed, contact support privately with your order reference. Include your tracking link if you have one.
  5. If a carrier investigation is opened, expect a progress update within two business days of it starting. The investigation may take longer to reach a final answer.

A delivery estimate is not a guaranteed date. These instructions describe a fictional store; Mohammed’s portfolio email is not an order support channel.

Return an unused item

Check the return window, understand the postage cost, and request instructions.

  1. Check that you are requesting the return within 30 calendar days of delivery.
  2. Make sure the item is unused and in its original packaging. If it arrived damaged, follow the damaged-item guide instead.
  3. Contact support privately with your order reference and the item you want to return. Support will confirm eligibility and provide instructions.
  4. Wait for those instructions before sending the item. For a change-of-mind return, you pay the return postage.
  5. Keep your proof of postage and tracking reference until the return and refund are complete.

Eligible returns are inspected and refunded within two business days of receipt. Your payment provider may take a further five to ten business days to show the refund.

Understand your refund timeline

There are two stages: the store issuing the refund, then the payment provider displaying it.

  1. Check your return tracking to see when the parcel reached the store. A delivery scan alone does not confirm that a refund has been issued.
  2. Allow two business days from receipt for an eligible return to be inspected and the refund issued to your original payment method.
  3. Look for a refund confirmation. The payment provider’s processing window starts on the refund issue date, not the date you posted the return.
  4. Allow a further five to ten business days after issue for the funds to appear with your payment provider.
  5. If you have no confirmation after the store’s processing window, or the funds are missing after the provider’s window, contact support privately with your order reference and any return tracking or refund confirmation.

Support should verify the actual refund status before asking you to wait for payment-provider processing. Never share passwords, one-time codes, or full payment-card details.

Report a damaged delivery

Send the information support needs and wait for return instructions.

  1. Report the damage within seven calendar days of receiving the item. If that window has passed, contact support for an individual review.
  2. Take clear photos showing the damaged item and the packaging, and keep the packaging while the issue is reviewed.
  3. Send the photos and your order reference through the store’s private support channel.
  4. Once the damage is confirmed, choose a replacement at no extra cost if stock is available, or a refund.
  5. Wait for instructions before returning anything. If the store needs the item back, support provides a prepaid return label.

The customer does not pay return postage for confirmed delivery damage. Replacement availability must be checked before a dispatch date is promised.

The fictional store’s policies

Daylight Supply is a fictional shop selling everyday desk and home goods. All policies, messages, and order situations were created for AI-assisted practice. No real customers or business results are represented.

Business days

For these examples, business days are Monday to Friday, excluding public holidays. All delivery and processing times are estimates unless explicitly stated otherwise.

Dispatch and tracking

Orders are normally dispatched within two business days of purchase. A tracking link is emailed at dispatch; the first carrier scan may take up to 24 hours to appear.

Delivery and delays

Estimated delivery is three to five business days after dispatch. If that window has passed, support checks the order and opens a carrier investigation where needed. The customer receives a progress update within two business days of the investigation starting, even if there is no final answer. Repeat unresolved contacts are escalated to a senior support colleague. A specific delivery date must not be promised without confirmation.

Change-of-mind returns

Customers can request a return within 30 calendar days of delivery for unused goods in their original packaging. Support confirms eligibility and provides instructions before the item is sent. The customer pays return postage for a change-of-mind return.

Refund timing

Eligible returned items are inspected and the refund is issued to the original payment method within two business days of receipt. After issue, the payment provider may take another five to ten business days to show the funds. Support verifies the actual return and refund status before confirming either to a customer.

Damaged deliveries

Customers should report delivery damage within seven calendar days of receipt, with an order reference and clear photos of the item and packaging. Once the damage is confirmed, support offers a replacement at no extra cost if stock is available, or a refund. Support provides a prepaid return label if a return is needed; the customer should wait for instructions before sending the item. Reports outside the seven-day window are referred for individual review.

Customer information

Support requests an order reference through the store’s private support channel and asks only for information relevant to the issue. Customers are never asked for passwords, one-time codes, or full payment-card details. The portfolio itself is not a store support channel.

WHAT THIS EXPLORES

Small details. Better support.

  • Clear labels help people find the right answer before they start reading.
  • A deadline needs a starting point: dispatch, delivery, or receipt of a return.
  • Good self-service content still explains what to do when the usual process does not work.

NEXT PRACTICE PROJECT

A little structure for the support queue.
